Social Committee Meeting Minutes (March 14th, 2005)

The meeting was called to order at 1607 Woodstream Ln. at 6:30pm.

Present

• Stephanie Butler - Committee Chairperson
• Mandy Diercks
• Andrea Westmoreland

Items Discussed

• April 30 Block Party planning and man power needed for this event.
• We need an additional 4 people or there will be no block party this year due to the lack of interest/volunteers.
• Catering was discussed as an alternative to grilling hot dogs as we don’t have the man power to man two grills.
• Should we do door prizes?
• Send Evites to all homeowners with email addresses for RSVP’s. Homeowners without email address will need to call the VRI voice mail number.
• Pass out flyers before the event.
• We will need volunteers to pass out flyers.
• Need to get clipboards for sign in process to go smoothly.
• The HOA will provide a bounce house again this year.
• There will be no face painting due to the lack of volunteers.
• Drinks will be provided by the HOA
• Homeowners in the cul de sac will need to be contacted to borrow electricity for bounce house.
• The Woodstream cul de sac will need to be blocked off.
• The time of the block party will be 4-6pm.

Action Items

• Stephanie - Contact Dickey’s, Spring Creek BBQ and Shady Oaks BBQ for catering quotes for 100 people.Done. Dickey’s will charge $400.00 for one meat and 4 gallons of a vegetable (ie, potato salad). The cost for meat alone is $315.00 plus tax. Spring Creek is $338.25 for meat and sauce only.
• Stephanie - Ask Karen Ewing to contact Ricardo’s Mexican Restaurant to see if they are interested in donating food for free advertising.Done, waiting on reply.
• Stephanie - pick up drinks at Costco
• Mandy - Call in laws to inquire about cost of smoking meat.
• Andrea - Contact ex-worker about what he will charge us for catering.
• Rob - Get list of all homeowner addresses on file.
