Meeting Minutes (November 13th, 2002)
November 13th, 2002
The meeting was called to order at 6:30pm at 1620 Woodhaven Ln.

Items Discussed
- Calendar of events for 2003:
- January - Post Holiday Celebration; Dave & Buster's? The calendar is full of holiday events; this would be a 'thank goodness the holidays are over' celebration. Checking into cost of party room and appetizers and / or power cards - a reason for people to come out and meet others.
- April - Board Meeting to re-elect / elect new Boardmembers; suggest the meeting be held at the library, separate from the block party, to avoid putting people on the spot at a social event.
- April - Block party; bounce house for kids, return of clown, maybe face painter- can use this as election forum if library fails to get quorum
- May - Neighborhood Garage Sale; everyone could leverage off advertising by the HOA to pull in lots of business.
- Fall - Halloween event; kids and adults would both be invited, there could be costume prizes, face painter, a bounce house, etc.
- December - Progressive Holiday Dinner / Tour of Homes; by this point hopefully everyone knows their neighbors well enough that we would have good participation.
- Budget Recommendations:
- Contingent of D&B activity - Mandy looking into pricing.
- Bounce house; they range from $110-$175 depending on size.
- Balloon bender; usually costs $125/hr or $100/hr for multiple hours.
- Clown; a homeowner's daughter was at last the block party - we should email her to see if she'd come back, and would she charge or donate her services.
- Facepainter; Mandy and her sister or a friend are willing to do it for the price of paint (nothing fancy). Hiring a professional costs about $85/hr.
- Mandy is looking into the cost of the last Block Party for an estimate for next year. For next year, the block party costs look like:
- Hotdogs / buns: $75
- Bounce house: $155
- Facepainters: ~$35
- BYO drinks / potluck for chips / dips / cookies / etc.
- Also, a neighborhood Halloween party:
- Bouncehouse: $155
- Facepainters: ~$35
- Prizes: ~$30
- Kim is looking into advertising costs for Garage Sale (advertisements in the paper / greensheet / etc.)
- A sign for garage sales would be about $30.
- A sign for yard of the month / quarter would be about $125.
- Newsletter
- Online with quarterly and / or monthly updates.
- Need to assign each section to a "responsible party", perhaps two per person for smaller sections.
- Suggested sections were:
- Upcoming community events with internet links if available.
- Bulletin board.
- Gardening / lawn tips - small section from a knowledgeable homeowner or professional with possibly a question / answer section.
- Yard of the quarter / month award?
- Seasonal recipes with internet links if available.
- Neighborhood services (babysitting, financial advisors, real estate, etc.)
- Sport league information -- city sign-ups and people looking to hook up with others that have the same interests (basketball, golf, etc.)
- Play groups in the neighborhood.
- Election of Kim Wong Smith as Social Committee chairperson, she will be the official liaison to board of directors.
Action Items
- Mandy will get information on pricing for outing at Dave & Busters.
- Mandy will confirm the expenditure information for the block party earlier this year.
- Kim will get information on pricing for garage sale advertising / yard-of-the-* signs.
- Kim will schedule the next committee meeting.
