Landscape Committee Organization
Scope
The committee is appointed by the Board of Directors and reports directly to the Board. The committee is to provide assistance in maintaining and enhancing the association's common areas.
Goal
The goal of the committee is to preserve and enhance the common area landscaping in order to reflect the qualities of the development.
Organization
The committee is appointed by the Board of Directors to serve for a term of one year. The committee shall consist of a Chair, Vice-Chair, and an adequate number of members to cover the committee's responsibilities.
Responsibilities of the Committee
- Recommend a grounds maintenance program to the Board which reflects the desires and requirements of the community.
- Prepare a maintenance budget for the Boards consideration.
- Recommend major improvements to the grounds, such as additional plantings, lighting, etc. for the Boards consideration.
- Regularly inspect common areas, note problems and report to the Board any recommendations for corrective action.
- Review bids / contracts for grounds maintenance, check references, interview contractors, and make recommendations to the Board.
- Review long-range maintenance needs and recommend a capital repair and replacement program to the Board.
Responsibility of the Chairperson
- Keep a record of committee meetings in the form of minutes.
- Inform the Board as required of any matters within the realm of the committee's responsibilities which need immediate attention.
Reports
A written report to the Board and membership, as required, to keep them abreast of changes, developments, and the committee activity.
The Committee also makes recommendations regarding the Association’s annual budget for landscaping services.
Meetings
Chair or appointed representative to attend regularly scheduled Board meetings. The committee meets at least quarterly or more often as reasonable and appropriate.
