Meeting Minutes (July 25th, 2002)
July 25th, 2002
The meeting was called to order at 3:00pm at the Allen City Hall.

Items Discussed
- The meeting with the city was very productive. The city officials were honest and forthcoming concerning our issues presented to them.
- Street signs: City action to resolve the following street sign discrepancies initiated by Stephanie Butler, was confirmed.
- Bur Oak, Briar Hollow and the erection of a "deaf child at play" sign.
- Additionally, a work order request was initiated to add an arm on the existing street sign differentiating Briarhollow Ct (west of Forest Stream Ln) and Briarhollow Dr (east of Forest Stream Ln) at the 3-way intersection of Briarhollow Ct, Briarhollow Dr & Forest Stream Ln.
- We made the city aware that there is no street sign at the intersection of Malone and Bur Oak Dr. The city will erect this sign upon completion of construction in the near area.
- The city owned lot, F10 on Elm Spring Court:
- The city representative responsible for this area, Steve Massey, was unavailable, but a phone visit is scheduled for Mon., 7/29. During a brief phone visit he committed to keep the area maintained, but conveyed encountering obstacles. He requests HOA assistance to discontinue "dumping" on this lot, which has obstructed maintenance attempts. Steve is willing to entertain allowing the HOA to use the remaining available land on this lot for the community good.
- Homes which back to Bethany:
- This is a ROW area that was most likely seeded / sodded at some time. However, as multiple contractors, i.e. telephone, cable, etc., access these areas, they mysteriously fail to find themselves returned to initial condition. No redress here. The HOA will need to consider implementing sod or concrete remedy.
- Note: Proactive homeowner interaction w/ sub-contractors was requested. A simple question or two: Get the company name. Ask what they are doing. Ask if they intend to return the work area to its original condition. Sub-contractors may be more inclined to return work areas to original condition if their activity and company affiliation has been identified.
- Villages of Maxwell Creek Sub-division map discrepancies:
- While we did not visit w/ a representative of the Planning group responsible for these type issues, we were assured that all areas detailed and shown on our sub-division plat were owned by the Villages of Maxwell Creek HOA. Discrepancies may exist in the items listed in our title document. Pursuit of remedy here is HOA discretionary.
- The common area along Malone:
- Dennis has taken an action item to further investigate and return a response on this issue. The developer's two year warranty period has expired. After this time the city becomes liable.
- Additional Items:
- The developer initiated maintenance of the "common land" near the detention pond. We may not be liable to continue annual maintenance of this area. We were provided a document that should clearly detail our commitment.
- We were encouraged as a community to become involved with as many city committees as possible. We were specifically encouragement to become involved with School and Park committees. Resultant involvement would likely serve to effectively increase the value of our community.
